Destination Wedding Complimentary Rooms Promotion
Many resorts will offer a certain number of “complimentary rooms” alongside your group’s room block reservation. This term can be misleading because it is not the physical rooms that are free, it is the cash value of the rooms within your room block that are reimbursed to the wedding couple’s credit card once the room block is finalized and paid off by all your guests.
The group leader will be reimbursed the dollar value of every “Xth” room in their group. The number of complimentary rooms can be based on which resort you pick, the wedding package and / or seasonality. For example, you may receive every 6th room free with a maximum of up to 3 rooms, meaning that for every 5 paid rooms you would receive the cash value of one free room.
The lowest value rooms in your room block will be comped. For example if you are receiving every 6th room free, when booking five double occupancy rooms in an Ocean View and one double occupancy room in a Tropical View for the same number of nights, then the lowest total value room would be the Tropical View room and that would be the complimentary room.
The calculations are made right before you travel. We often see guests make cancellations, additions or modifications to their room right up to the last minute which can affect your comp value. Comps are calculated based on the rooms that travel and therefore it is not possible for your travel agent to calculate comps at any time during your wedding planning process.
The total Net value of complimentary rooms is awarded as cash to the group leader’s credit card. The reimbursement will present itself on the credit card that the wedding couple used to purchase their room with. Alternatively if the comp amount exceeds the cost of the wedding couple’s room then they can opt to be paid the overage via check. If the wedding couple would like their comps paid out entirely via check there is a 3% surcharge for this reimbursement method.
Rooms that are booked outside the group will not count towards your comps. This includes guests who book as an individual directly via the wedding resort’s website and guests who book using third party websites like Expedia.
